EPBA Receptionist/Secretary

The Receptionist/Secretary is to perform office responsibilities that further the ministry of the association and its goals. It is vital that the EPBA Receptionist diligently hold to the Christian faith shared by the association and its member churches and view this position as a ministry to the Lord Jesus Christ.




-Generally provide the general clerical and office assistance necessary for the furtherance of the EPBA ministry, upon assignment by the Administrative Assistant and Executive Director.

-Ensure confidentiality of all sensitive information.


-Maintain regular office hours (8:30AM-4:30PM), presenting a welcoming and helpful presence to all who call, e-mail, or visit; particularly as the front office “face” of EPBA.


-Provide administrative support for the EPBA staff and volunteers, as needed.


-Receive, screen, and route incoming calls. Take action and/or messages as appropriate.


-Assist in the coordination of schedules for use of the block party trailer, portable baptistry, video projector, tents, Spanish translation equipment and sound system equipment to churches.


-Assist in the production of weekly, monthly, quarterly or annual association publications as directed.


-Prepare and mail association mailings and/or distribute e-newsletters, as needed.


-Assist in the maintenance of the association database of members, donors, visitors, and friends.


-Record attendance at meetings, and other duties as assigned at meetings.


-Assist with meal planning, pick up or delivery for meetings and events associated with EPBA.


-Assist in maintaining the association activity calendar.


-Maintain the front reception office as well as the conference room, entry foyer, back conference room and kitchen in a clean orderly manner including after event clean up.


-Assist in the purchase and maintenance of office supplies and pantry items and coordinate the maintenance of office equipment.


-Evidence a manner of life that is consistent with the Christian faith held by the EPBA statement of faith.


-Perform other duties as assigned.


-Must have demonstrable computer skills, including Microsoft Office applications such as Word, Outlook, PowerPoint, Excel, and Publisher (Access is a plus). Also the ability to update a web page and have experience with Wi-Fi networks desirable.


-Must be bi-lingual (English and Spanish)


-Assisting in all areas of office operations.


-Answering phone calls and properly taking messages for different ministries.


-Assisting in preparing the outgoing mail of reminders for meetings and other literature as needed.


-Assist in creating new documents on different Microsoft Office Program and Print Shop Program as needed.


-Assist in scheduling for the use of all multi-media equipment.


-Assist Office Manager in preparing quarterly Executive Board and Annual Meeting Booklets.


-Assisting in updating the differently ministry literature, EPBA Directory, and ministry mailing labels as needed.


-Assists Administrative Assistant for different ministry meetings in the office and conferences occurring occasionally on Saturday mornings.


-Assisting with Christmas decorating, and Christmas Open House.


-Filing of documents properly in the filing system.


-Fill the position of the Administrative Assistant in her absence out ill, on vacation or out to conferences or seminars.
